Mentoring Subcommittee - Projects

Mentoring Projects Completed 2008 to 2009

  • Redesigned the program’s official forms.
  • Updated the HS-PAC Mentoring Handbook.
  • Distributed Recruitment letter.
  • Developed 3 Workgroups: Database, Training and Resources, and Professional Advisory (2009).
  • Drafted the HS PAC Mentoring Subcommittee Position Description for Executives Committees (2009).

Mentoring Projects Completed in 2010

2010 Activities
  • Monitor and Administer the Mentoring Program for the Health Services Officer (HSO) Category.
  • Coordinate the annual Senior Officer Mentoring Program under the guidance of the Chief Professional Officer.
  • Lead the recruitment activities for category mentors.
  • Maintain a database of mentors and mentees.
  • Conducts satisfaction surveys to evaluate officers' satisfaction with the mentoring services being offered.
  • Survey the training needs for mentors and collaborate with other subcommittees of the HS PAC to address them.
2010 Accomplishments (Operationalized by accomplishments)
  • Designed and implemented a training program to meet the needs of the Mentors and Mentees. 158 mentoring pairs matched in 2010.
  • Provided promotion mentoring counseling to over 100 officers who were not promoted in 2010 Promotion Cycle.
  • Jointly hosted the first Career Counseling Sessions with the HS PAC Career Development Subcommittee at the 2010 COF.
  • Provided a Mentoring Roundtable session at the 2010 COF.
  • Revised the HSO Mentoring handbook to ensure that the information is accurate and up to date.
  • Developed an easy online application process that is web based and 508 compliant: The process is tailored to meet the needs of all HS Officers and has a sunset period of one year.
  • Developed a welcome letter for mentors/mentees
  • Provided on-line Training and Resources on mentoring.
  • Collaborated with the PAC/PAG Mentoring Subcommittee in addressing the training needs of Mentors and Mentees.
  • Created and implemented a six month mentoring progress report form to evaluate the ongoing matches in the mentoring program.
  • Created and implemented a yearly survey for mentees and mentors to assess progress of the mentoring program.
  • Prepared and presented a summary of findings for the HS CPO and HS PAC Chair
  • Presented information on the HS-PAC Mentoring Subcommittee- Mentoring Program to the PHS-wide mentoring program evaluation.
  • Created materials for the new HSO Mentoring Resource web page.
  • Created materials for the new Professional Advisory Mentoring Liaison web page.
  • Performed liaison duties with the Professional Advisory Groups, addressed concerns, conveyed issues and assisted with requested tasks.
  • Solicited input from the PAGs on effective ways to assist and promote cohesive recruitment activity.
  • Actively engaged in the recruitment of Health Services Mentors to meet the needs of the Category.
  • Gathered mentoring activity updates from the various PAGs within the HS PAC and reported to the HS PAC Mentoring Subcommittee.
  • Provided monthly updates and available statistics on activities on the PAG mentoring programs to the HS PAC Chair.
  • Streamlined the mentoring methodology to promote equal and timely access for all officers in the HS category.
  • Developed articles to communicate the importance of being a mentee or mentor.
  • Communicated to PAG liaison monthly matches processed.

Mentoring Projects Underway 2011

  • Continue jointly hosting of COF Career Counseling Sessions annually.
  • Develop a senior officer advisory group (SOAG) that focuses on mentoring.
  • Annually provide a COF Mentoring Roundtable session at COF.
  • Develop Standing Operating Procedures (SOP) for interfacing with liaisons from each Professional Advisory Group (PAG).
  • Send tailored monthly emails to mentors on mentoring tips.
  • Formalize interface with PAGs.
  • Recruit Mentors and Mentees.
  • Design or develop additional training from mentors and mentees by collaborating with the HS PAC Career Development Subcommittee.
  • Develop mentor incentives.
  • Develop mentoring articles.
  • Add/Update Mentoring Webpages.
  • Develop and operationalized SOPs.
  • Create end of the year thank you letter for mentees and mentors who have participated in the program.
  • Collaborate with the HS PAC Recruitment and Retention Subcommittee to identify COSTEP students assigned to active duty tours and new officers to the Category for mentoring, when needed.
  • Reopen discussion with OCCO on directly entering mentoring welcome letter into participants OPF.
  • Develop a process for awarding mentoring subcommittee/workgroup members.
